Communicating With The Media

Your event must be well publicized in your local media if you want to be successful. This can be done very inexpensively (and effectively) by using a Public Service Announcement (PSA) - see the example PSA's included.

First, go to your local library and ask a reference librarian for a reference which lists local newspapers, newsletters, and/or radio and television stations. Second, make a copy of this list for future reference.

Next, find out if the newspapers/newsletters have community calendar or public announcements sections. If they do, find out what the requirements are for PSA's. Then, find out who are the community editors (with their phone numbers) so that you can address your PSA in care of these editors. A week after sending your PSA, give them a call to make sure they received it and to see if they have any questions.

Next, assign yourself or another knowledgeable person to call the various radio and television stations to find out specific requirements for public announcements (remember to take specific notes for each station). Often radio stations will record information about your event over the phone.

Your event will also need a professional poster (one that's done well). You may find an artist or have to contract but make sure it is done well (see examples included). While you are waiting for your artwork, find out where you can have it reproduced well at a reasonable (not cheap) cost. Next, call around to various community organizations (i.e. political, trade, student or churches, etc.) to find out where posters will be most effective, or go out around town and make a note of locations where you see other posters.
